Location: Hybrid — Remote + Field presence in Kilifi, Kisumu, and Timau
Start Date: January 2026
Salary Range: KES 100,000 – 120,000 per month (gross), based on experience and qualifications.

Job Purpose
​
The Finance & Administration officer will provide financial management, administrative support, and compliance oversight for the implementation of Learnly Africa’s two-year digital skills and employability program.
The role will ensure efficient planning, accurate financial reporting, proper documentation, and smooth program operations. The officer will support program leadership in budgeting, procurement, grant compliance, and partner coordination.

Key Responsibilities

Financial Management & Reporting
​

Prepare, maintain, and monitor program budgets, forecasts, and expenditure plans.

Manage day-to-day accounting functions, including data entry, reconciliations, and cashbook maintenance.

Prepare monthly, quarterly, and annual financial reports in line with Mastercard Foundation financial requirements.

Oversee the disbursement of funds, payments, and reimbursements, ensuring proper approvals and compliance.

Ensure timely posting of transactions into the accounting system.

Monitor budget variances and work with program leads to ensure alignment with requirements.

Support external and internal audits by preparing required schedules, documentation, and responses
Compliance

Ensure adherence to Learnly Africa’s financial guidelines, procurement rules, and reporting obligations.

Maintain accurate documentation, including contracts, invoices, and financial correspondence.

Review partner/consultant invoices and financial reports for accuracy and compliance.

Track and monitor disbursements, liquidation requests, and partner expenditures.

Implement internal controls to safeguard program resources and reduce financial risk.
Procurement & Administration

Manage procurement processes, including sourcing, quotation evaluation, vendor selection, and contracting.

Ensure procurement aligns with organizational standards.

Maintain an updated asset register and ensure proper tagging, monitoring, and disposal processes.

Oversee logistical arrangements for meetings, training, travel, and program events.

Manage office supplies, utilities, and administrative support functions.

Maintain organized filing systems (digital and physical) for finance, HR, and administrative documents.Human Resources Support

Manage staff timesheets, leave records, and monthly payroll support.

Coordinate consultant contracts, payments, and deliverable tracking.

Program Support

Support program planning, activity budgeting, and documentation.

Assist in the preparation of reports.

Provide administrative support for program fieldwork and stakeholder engagements.

Coordinate communication between program teams, partners, and vendors.

Qualifications & Experience
​

Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.

CPA II or CPA K / ACCA Level 2 and above required.

Minimum 4–6 years of experience in finance and administration
-
Strong knowledge of budgeting, reporting, procurement, and compliance.

Experience working with grants from donors is a plus.

Proficiency in accounting software.

Excellent Excel and financial analysis skills.
